Client Overview

A human services organization was operating its case management process across a legacy CRM system, spreadsheets, shared documents, and manual tracking methods. The existing setup made it difficult for staff to maintain a single source of truth, track client progress consistently, manage related household and financial information, and collaborate across teams.

The organization selected eTek IT Services to modernize its case management operations by implementing Salesforce as a centralized platform for managing client records, program workflows, case notes, documentation, reporting, and future operational enhancements.

Business Challenge

The client’s existing process relied heavily on disconnected systems and manual updates. Key information such as client profiles, household details, case notes, program participation, financial information, and supporting documents were not always easy to access in one place.

This created several operational challenges:

  • Limited visibility across teams due to information being stored in multiple systems.
  • Manual effort required to track client updates, service history, and follow-up actions.
  • Difficulty maintaining consistent data quality across legacy records and spreadsheets.
  • Time-consuming process for staff to retrieve historical information.
  • Need for structured reporting and better oversight of active cases.
  • Risk of user adoption challenges during the transition from the legacy system to Salesforce.

The client needed a scalable Salesforce solution that could support day-to-day case management while also allowing future modules and enhancements to be added as operations matured.

Solution Delivered

eTek IT Services designed and implemented a Salesforce-based case management platform to replace the legacy CRM and manual tracking processes. The solution was built to centralize client information, improve team visibility, and create a more structured workflow for staff.

The implementation included:

  • Client Profile Management
Centralized client records with key demographic, contact, intake, and program-related information.
  • Household & Relationship Tracking
Ability to associate clients with household members and related records for better case context.
  • Case Notes & Activity Tracking
Structured case note tracking to support ongoing follow-up, service history, and staff collaboration.
  • Financial & Program Data Capture
Configured sections to track relevant financial and program-related information within the case record.
  • Document Management Support
Ability to store or reference important documents connected to client and case records.
  • Legacy CRM Data Transfer
Coordinated transfer of selected records from the legacy CRM into Salesforce, including validation and review to support data accuracy.
  • User Acceptance Testing & Validation
Worked with client stakeholders to test the system, validate business processes, and address feedback before production rollout.
  • Training & Go-Live Support
Supported staff training and production transition to help users move from the legacy process to Salesforce.
  • Employment/Operational Module Enhancement
Added an operational module to help staff track external opportunities, link them to clients, manage statuses, and improve visibility into outcomes.

Project Approach

eTek followed a structured delivery approach that included discovery, configuration, testing, production deployment, and user support.

The project was delivered through close collaboration with business users, technical stakeholders, and operational leadership. Feedback from UAT was reviewed and incorporated before production deployment. After go-live, additional validation was performed to ensure the delivered functionality worked as expected in the production environment.

The Salesforce implementation helped the client move away from fragmented tools and toward a centralized case management platform.

Key benefits included:

  • Improved visibility into client and case information.
  • Reduced dependency on spreadsheets and manual tracking.
  • Better organization of client history, case notes, and related records.
  • More consistent process for staff to manage and update case information.
